1. Who we are

Victory Lap Detailing is a mobile car detailing business operating across Bournemouth, Poole, Christchurch and wider Dorset. We are the data controller for the information described in this policy.

2. Information you give us

We collect what you enter into our forms. Depending on which one you use, that's:

• Booking form — your name, email address, phone number, service address and postcode, the service and vehicle size you've chosen, any add-ons, your preferred date, your contact preference, whether you're happy to be called, anything you write in the notes, and the name of anyone who referred you.
• Contact form — your name, email address, phone number, subject and message, and whether you ticked the box to hear about offers.
• Offer / advert landing page — your name, phone number, postcode, the service you're interested in, and which advert brought you there.
• Aircraft enquiry form — your name, email address, phone number, aircraft type, where it's based, the work you're after and any notes.

Please don't send us payment card details through any of these forms — we don't ask for them and they aren't needed to book.

3. Information collected automatically

When you visit the site we record some basic information about the visit so we can see how the site is being used and which adverts are working. This includes:

• The page you viewed and the website or advert you arrived from
• Whether you're on a mobile, tablet or desktop, and your screen width
• Advertising tags in the web address, such as utm_source, gclid (Google) and fbclid (Meta)
• A randomly generated visitor ID stored in your browser, along with how many times you've visited, the date of your first visit and where you originally came from

That visitor ID is a random string. It isn't linked to your name or contact details, and it doesn't identify you personally to us — it only lets us tell a returning visitor from a new one. It's stored in your browser's local storage rather than in a cookie, and it stays there until you clear your browsing data.

We don't use Google Analytics or any third-party advertising tracker on the site. This information goes only to our own system.

4. Why we use it, and our legal basis

• To quote for and carry out your booking — including contacting you to confirm details, arrange access and let you know when we're arriving. Legal basis: performance of a contract with you, or taking steps at your request before entering one.
• To respond to enquiries — legal basis: our legitimate interest in answering people who get in touch.
• To keep business and accounting records — legal basis: our legal obligations, including tax record-keeping.
• To understand how the site is used and which adverts work — legal basis: our legitimate interest in running and improving the business. We keep this to the minimum described above.
• To send you offers and news — only where you've asked us to. Legal basis: your consent.

5. Automated messages

When you submit a booking or enquiry, our system sends you one automatic acknowledgement — a booking confirmation setting out what we have on file, or a reply to your enquiry. It goes by email or text depending on the contact preference you chose.

This is part of handling your booking, not marketing. You'll only ever get one automated message per enquiry; anything after that is a real person replying.

6. Marketing

We'll only send you offers and news if you've ticked the box asking us to.

You can opt out at any time — reply to any message asking us to stop, or email us. We'll action it straight away and it won't affect any work we're doing for you.

7. Who we share it with

We don't sell your information to anyone, and we don't share it for anyone else's marketing.

We do use a small number of service providers to run the business. They only process your information on our instructions:

• Netlify — hosts this website and receives form submissions
• Supabase — the database behind our customer system, where bookings and enquiries are stored
• Resend — sends our confirmation and reply emails
• Twilio — sends our text messages
• ntfy — sends alerts to our own phone when an enquiry arrives

Some of these providers are based outside the UK. Where information is transferred abroad, it's protected by the safeguards required under UK data protection law, such as standard contractual clauses.

We may also share information where we're legally required to, or where it's necessary to establish or defend a legal claim.

8. Other services on our pages

• Google Fonts — our pages load fonts from Google's servers, which means your IP address is sent to Google when the page loads. This is used to deliver the font files.
• WhatsApp — if you tap our WhatsApp button you'll be taken to WhatsApp, and your message and number are then handled by WhatsApp under their own privacy terms.
• Instagram and Facebook — our social links take you to those platforms, which have their own privacy policies.

9. How long we keep it

• Enquiries that don't lead to a booking — up to 12 months, then deleted.
• Customer and booking records — 6 years after the work, which is the period we're required to keep business and tax records for.
• Website usage information — up to 24 months.
• Marketing contacts — until you unsubscribe or ask us to remove you.

10. Your rights

Under UK data protection law you have the right to:

• Ask for a copy of the information we hold about you
• Have inaccurate information corrected
• Ask us to delete your information, where we don't need to keep it
• Object to, or ask us to restrict, how we use it
• Ask us to transfer it to someone else
• Withdraw your consent to marketing at any time

Just email victorylapdetailinguk@gmail.com and we'll deal with it. There's no charge, and we'll respond within one month.

11. Controlling information stored in your browser

You can clear the visitor ID and everything else stored by this site at any time by clearing your browsing data or site data for this website in your browser settings. Using private or incognito browsing prevents it being kept between visits.

Doing so won't stop you using any part of the site.

12. Complaints

If you're unhappy with how we've handled your information, please tell us first and we'll try to put it right.

You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

13. Changes to this policy

We may update this policy from time to time. The version published here is the one that applies. If we make a significant change, we'll make that clear on this page.
